Overview
Nuxera is a healthcare AI company. SERA is Nuxera's AI clinical documentation assistant, available as a Chrome browser extension that records healthcare consultations, generates clinical transcripts and documentation, and assists healthcare professionals by automatically populating EMR/EHR fields.
This Privacy Policy applies specifically to the SERA browser extension ("the Extension") and explains what data is collected, how it is used, where it is processed, how long it is retained, and with whom it may be shared.
The Extension is intended exclusively for authorized healthcare professionals and healthcare organizations that have an active agreement with Nuxera. Access requires an account provisioned by Nuxera's administrators and authentication using approved credentials.
Roles and Responsibilities
When the Extension is used within a healthcare organization, that organization acts as the data controller for patient information processed through the service. Nuxera acts as a data processor, processing information solely on the organization's behalf and under its instructions. The healthcare organization is responsible for ensuring that patient consultations are recorded lawfully, including obtaining any patient consent or notice required under applicable law in its jurisdiction.
Chrome Permissions and Their Purpose
Microphone
Required to capture audio during consultation recordings. Audio is transmitted securely to Nuxera's servers for transcription and clinical documentation processing.
Storage (chrome.storage)
Used to store authentication credentials, user settings, transcripts, and session information locally on your device.
Active Tab / Scripting
Used to analyze the structure of the EMR/EHR page currently open in your browser, identify form fields, and populate those fields with generated clinical documentation. The Extension only accesses the active page where the user chooses to use SERA functionality.
Content Scripts (All URLs)
The Extension loads a lightweight content script on web pages and embedded frames (iframes) the user visits. This script facilitates communication between the Extension's side panel and the active page. It does not read, collect, or transmit page content unless the user explicitly activates SERA functionality on that page.
Background Service Worker
The Extension runs a background service worker that manages the Extension's internal state, handles communication between Extension components, and coordinates network requests to Nuxera services when initiated by the user. The service worker does not independently collect, monitor, or transmit user data outside of user-initiated actions.
Side Panel (sidePanel)
Used to display the SERA interface in Chrome's side panel, allowing the user to interact with the Extension while viewing their EMR/EHR system.
Web Navigation (webNavigation)
Used to detect page navigation events so the Extension can update its state when the user moves between pages. This permission is not used to track browsing history or monitor websites unrelated to the user's clinical workflow. No navigation data is transmitted to Nuxera's servers.
Network Access (Host Permissions)
The Extension is granted broad host permissions to support its content script functionality across EMR/EHR systems. The Extension makes outbound network requests only to Nuxera's servers (nuxera.cloud). It does not communicate with any other external service.
Identity
Used to authenticate users and maintain secure access to Nuxera services.
Data We Collect
Account and Authentication Information
Accounts are provisioned by Nuxera administrators for authorized healthcare organizations. When you sign in, the Extension stores your work email address, authentication token, and API credentials issued through the Nuxera platform. Account records (including your work email address and organization) are held on Nuxera's platform for the duration of your organization's agreement. This information is used solely for authentication, authorization, and account administration.
Audio Recordings
When recording is initiated by the user, audio is captured from your microphone and transmitted to Nuxera's servers over encrypted HTTPS/TLS connections for transcription and clinical documentation processing. Audio may contain the voices and personal or health information of patients and other individuals present during the consultation. Audio recordings are deleted from Nuxera's servers immediately upon generation of the clinical note and are not retained.
Clinical Documentation Data
Audio recordings are processed by Nuxera's services to generate transcripts, clinical notes, structured clinical information, and documentation outputs. Generated outputs are returned to the user and may be stored locally on your device using Chrome storage to support the Extension's functionality. Nuxera does not retain transcripts or clinical notes on its servers after processing is complete.
EMR/EHR Page Structure
To automate clinical documentation entry, the Extension analyzes the structure of the EMR/EHR page currently open in your browser, including field labels, field names, form sections, input field identifiers, and page structure metadata. Page structure data is only read and transmitted when the user explicitly activates SERA on that page, and is used solely to determine the appropriate destination fields for automated data entry. It is not used for advertising, profiling, or marketing purposes.
Service Metadata
To maintain the security, reliability, and auditability of the service, Nuxera retains technical metadata associated with each session, consisting of: audio duration, request timestamps, browser user agent, device information, IP address, and session and request identifiers. Service metadata does not include audio content, transcripts, clinical notes, or patient identifiers.
How We Use Your Data
We use collected information solely to:
- Authenticate authorized users and administer accounts
- Generate clinical transcripts and documentation
- Extract structured clinical information
- Identify appropriate EMR/EHR destination fields and automatically populate EMR/EHR forms
- Maintain the security, reliability, and functionality of the service
- Comply with legal obligations and support authorized customer operations
We do not sell, rent, share, or use collected information for advertising, marketing, profiling, or any unrelated purpose.
AI-Assisted Processing
The Extension uses artificial intelligence technologies to transcribe consultation audio, generate clinical documentation, extract structured clinical information, and assist with EMR/EHR field mapping. Field mapping is performed primarily through direct structural matching; where direct matching is not possible, a language model assists in identifying the correct destination field.
All AI models used by the service, including speech recognition and language models, are developed or operated by Nuxera and run on infrastructure under Nuxera's control. No user data, audio, clinical content, or page data is sent to any third-party AI provider.
AI-generated content should always be reviewed by a qualified healthcare professional before being relied upon or submitted to a medical record system. Healthcare professionals remain responsible for reviewing and approving all generated content before saving or submitting information to a medical record system.
Data Sharing and Disclosure
All processing is performed by Nuxera on servers hosted on Oracle Cloud Infrastructure, which acts as Nuxera's infrastructure provider under a data processing agreement and does not access user data for its own purposes. Nuxera does not use any other third-party service providers, subprocessors, or external APIs to process user data.
No information is sold, rented, or shared with advertisers, data brokers, or marketing providers. Information may be disclosed only when required by applicable law, regulation, court order, or lawful governmental request.
Data Storage and Retention
- Audio recordings: deleted from Nuxera's servers immediately upon generation of the clinical note. Not retained.
- Transcripts and clinical notes: returned to the user and not retained on Nuxera's servers after processing. Copies may be stored locally on your device via Chrome storage; you may remove locally stored information at any time by signing out, clearing extension storage, or uninstalling the Extension.
- Account and authentication information: retained for the duration of your organization's agreement with Nuxera and deleted upon account closure, subject to legal retention obligations.
- Service metadata: retained for as long as necessary to maintain service security, reliability, and auditability, and to comply with legal and contractual obligations.
Human Access
Nuxera personnel do not access or read user data, except in the following limited circumstances: (a) when the user explicitly requests assistance that requires such access; (b) where necessary to investigate security incidents, abuse, or violations of our terms; or (c) where required to comply with applicable law. Any such access is limited to what is necessary for the stated purpose and is governed by Nuxera's internal access controls and compliance policies.
Chrome Web Store User Data Policy — Limited Use
SERA's use of information received through Chrome APIs and from user devices complies with the Chrome Web Store User Data Policy, including the Limited Use requirements. Specifically, data is accessed, collected, used, and transferred solely to provide and improve the clinical documentation functionality that is prominently described in the Extension's listing and requested by the user. Data is never sold; never used for advertising, personalized ads, retargeting, or ad measurement; never used to determine creditworthiness or for lending purposes; and never transferred to third parties except as necessary to provide the user-requested functionality, to comply with applicable law, or as part of a merger or acquisition with prior notice to users.
Data Security
All communications between the Extension and Nuxera services are encrypted using HTTPS/TLS. We implement industry-standard technical and organizational safeguards to protect information against unauthorized access, disclosure, alteration, or destruction. Authentication credentials are stored using Chrome's storage mechanisms and are not exposed to website page content.
Cookies and Tracking
The SERA Extension does not use cookies, advertising identifiers, tracking pixels, browser fingerprinting, or advertising SDKs. No user behavior is collected for advertising or marketing purposes.
Health Information
The Extension is designed for use by licensed healthcare professionals and processes information that may qualify as Protected Health Information (PHI) or sensitive health data, including information relating to patients. The healthcare organization deploying the Extension is responsible for ensuring its use complies with applicable healthcare privacy regulations, including the Saudi Personal Data Protection Law (PDPL), HIPAA where applicable, and other laws within its jurisdiction, and for providing any required notices to, and obtaining any required consents from, patients.
Legal Basis for Processing
Nuxera processes personal data in accordance with the Saudi Personal Data Protection Law (PDPL) and applicable implementing regulations. Processing is performed on the following legal bases: contractual necessity, legitimate business interests, and compliance with legal obligations.
Children's Privacy
The Extension is intended exclusively for healthcare professionals and is not directed toward individuals under 18 years of age. We do not knowingly collect personal information from children through the Extension's user accounts. If we become aware that a user account has been created for a child, we will delete the associated personal information promptly.
Your Rights
Subject to applicable law, you may have the right to access your personal data, correct inaccurate data, request deletion of your personal data, object to certain processing activities, and request data portability. Requests are honored subject to legal retention obligations and security requirements. Users within a healthcare organization may also direct requests through their organization's administrator.

Changes to This Policy
We may update this Privacy Policy from time to time. The latest version will always be available through the Chrome Web Store listing and associated Nuxera resources. Continued use of the Extension after updates become effective constitutes acceptance of the revised Privacy Policy.
